This Policy explains when and why we collect personal information about people who use our services, how we use it, the conditions under which we may disclose it to others and how we keep it secure.

Who we are

We are Accountability Northern Limited who provide bookkeeping, management accounting and payroll services. Our company registration number is IP023949 and our registered office is Aizlewood’s Mill, Nursery Street, Sheffield S3 8GG.

How we collect information from you

We collect information from the forms that we complete when you use our services, for example a New Customer Enquiry Form used to compile a quotation for our services, information collected to comply with current Money Laundering Regulations, completion of Direct Debit Mandates and any signed Agreements, P45’s, P46’s, New Starter Forms and other related payroll forms as necessary. We also collect information from email exchanges between ourselves and new and existing clients.

What type of information we collect

Personal information we collect might include, name, address, email address, telephone number.  For many services we will require you to sign a direct debit mandate and therefore in these instances we will also be storing your bank details. For payroll clients we also may collect National Insurance Numbers, Tax Codes, Pension Details, Medical Information and other necessary data required by law to provide the service.

We use GDPR compliant secure payroll and cloud accounting software on which we will upload payroll and business finance information.

We won’t share your information with anyone else except to comply with our legal obligations.

We will not share your information with any organisation outside the EU.

How long we will store your data

We will store your data in line with our legal requirements (currently 7 years) and for a maximum of 7 years after you have finished using our services in line with our GDPR Handbook.

How you can access the data we hold about you

If you wish to obtain specific details about the information we hold about you, you can submit a request to The Designated Data Protection Officer, Accountability Northern Limited c/o Aizlewood Business Centre, Aizlewood’s Mill, Nursery Street, Sheffield S3 8GG.  The information requested will be available within one month.  There will be no charge for suppling the information as long as the request is not manifestly unfounded, excessive or repetitive.

If you feel that we should delete any of your personal data you can submit a request to The Designated Data Protection Officer, Accountability Northern Limited c/o Aizlewood Business Centre, Aizlewood’s Mill, Nursery Street, Sheffield S3 8GG.  The information will be deleted as long as it is not required for legal reasons.
